Fast-Paced | Client-Facing | High-Volume
We're looking for a Scheduling Coordinator who can bring order, who stays calm when the calendar changes five times before lunch, keeps every detail airtight, and treats every client interaction like it matters.
This role blends two skill sets that don't always show up together: the discipline to run a flawless, repeatable process, and the quick thinking to solve problems the process didn't anticipate. If you're organized to a fault and level-headed when a plan falls apart, keep reading.
• Own the scheduling process end-to-end, keeping things accurate with nothing falling through the cracks
• Juggle multiple shifting priorities at once without losing track of any of them
• Be the calm, clear voice clients hear when something changes on short notice
• Spot recurring scheduling problems and fix the root cause, not just the symptom
• Communicate changes proactively to clients and teammates
• Keep records and documentation clean and up to date
• Organized & detail-driven — you catch small errors before they become big ones and document things so nothing lives only in your head
• A real problem solver — your instinct is to fix issues, not just flag them
• Calm under pressure — fast pace doesn't rattle you, even with several urgent priorities at once
• Client-focused — you think about how a change lands on the other end and communicate proactively
• Comfortable with change — priorities shift and you adapt quickly, without taking it personally
• A little creative — you look at a clunky process and see a simpler, faster way to run it
• Open to feedback — you take input on your process without hearing it as a critique of you personally
• Data-minded — you look at historical scheduling data to spot trends and get ahead of problems before they repeat
• Love a well-run system but don't get precious about protecting one that no longer works
• Can go from heads-down organizing to solving a client's urgent problem without missing a beat
• Give people a heads-up before things change, and explain the "why," not just the "what"
