Overview

Job Summary 

 

The Sr. Payroll Administrator is responsible for the overall management and maintenance of payroll and reporting for multiple corporate entities.  Aspect of accounting and will provide leadership on accounting related tasks. This individual should possess a high degree of professionalism, strong interpersonal skills, and experience handling sensitive information.

Responsibilities

Essential Job Duties and Responsibilities 

 

  • Manage and guarantee weekly disbursement of multi-state payroll, including garnishments, benefits, and taxes to employees consistent with federal and state wage and hour laws 
  • Ensure the payroll processing for new hires, temporary workers, transfers, promotions and terminations are accurate and timely 
  • Critically review and analyze current payroll, benefits, and tax procedures to recommend and implement changes leading to best-practice operations 
  • Audit W-4s, payroll balance sheets, YTD earnings, etc. 
  • Communicate actively with Operations, HR, and Billing to review cross-departmental impacts and reconcile data sharing 
  • Partner with HR and benefits in aligning and implementing a more sophisticated payroll and benefits system 
  • Ensure systems are set-up and updated to reflect our current employee base, including wages, benefits, sick and vacation time in line with contracts 
  • Manage regular preparation of relevant management reports, including weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) 
  • Review and process monthly payroll allocations 
  • Review and process 401k reconciliations 
  • Other duties as assigned 

Qualifications

Education and/or Experience 

  • High School degree or equivalent 
  • 5 plus years’ experience processing multi-state payroll 
  • Previous HRIS experience 
  • Previous experience with payroll tax at the federal, state, and local levels 
  • Prior system conversion experience 

Skills/Specialized Knowledge 

  • Ability to work cooperatively with others in a team environment 
  • Self-starter with solid organizational skills and ability to effectively manage multiple priorities or reprioritization of projects 
  • Excellent communication skills – verbal and written 
  • Excellent skills in MS Excel and Word

  • Must maintain professional appearance 
  • Ability to be at work on a regular and consistent basis  

Physical and Mental Demands 

  • This position will spend long hours sitting and using office equipment and computers. The position may also entail light lifting of supplies and materials occasionally, up to and including 20 pounds in addition to reaching, stooping, standing, and walking. This position requires the ability to talk, hear, compare, compute, compile, copy, analyze, coordinate, synthesize, negotiate and communicate.
